Police Check Information


WGHA requires all staff members, including managers, to have a police check (officially called a "Vulnerable Sector Check"). These police checks are valid for three years from the date of issue, which means a new one must be submitted every 3 years (per OWHA) to prevent expiry in the middle of a season.

Please note that it is not necessary to obtain a separate Vulnerable Sector Check for each organization that you volunteer with!  If you have a valid check that was completed in the past 3 years (i.e. at least 12 months from expiry), you may submit it to WGHA regardless of the organization that originally requested it.  Coaches that also volunteer in other minor sports are encouraged to re-use their existing valid police checks when applying to volunteer with WGHA.

For Waterloo Region Residents

Waterloo Region Residents must now apply online for a Vulnerable Sector Check. They no longer provide in-person, same day service. Please visit this link:

Use this letter when applying to show you are a volunteer with the Wilmot Girls Hockey Association. 

By identifying yourself as a minor hockey volunteer, the cost is reduced. WGHA will reimburse your police check expense up to the volunteer cost.  If you fail to properly identify that you are a minor hockey volunteer on your records check application, any additional costs are your responsibility.

NON-Waterloo Region residents

Costs (if any) associated with obtaining a police records check may vary by township, and will be reimbursed by WGHA up to the volunteer cost. 

Keep Your WGHA Staff Qualifications Up to Date

Upon completion of your Vulnerable Sector Check, a copy must be uploaded to your RAMP profile. Please visit RAMP Registrations to do so.

Pay the fees and keep your receipt. Submit a clear scan or photo of the receipt, along with a copy of your completed Vulnerable Sector Check to our online system at:  Hockey Canada Course Expense Reimbursement Form
